Summary:

Schafer Richardson, LLC is a real estate investment company providing development, management, leasing, and construction services to its commercial and multifamily real estate portfolio in the Upper Midwest.

The Property Administrator works together with the Property Manager(s) to manage a property or group of properties in accordance with the terms of the property’s management agreement.

In addition, the Property Administrator must demonstrate regular use of discretion, judgement, and problem solving while delivering excellent customer service and satisfaction in representing the Schafer Richardson real estate service brand.

DUTIES AND RESPONSIBILITIES: The job description below outlines the primary responsibilities and is not intended to be all encompassing. Other duties may be assigned as needed.

BASIC FUNCTIONS:

• Provide support to the Property Managers as needed.

• Assist in updating tenant and vendor contact lists, contract lists, emergency handbooks, and manage central database systems for Property Management and Leasing Department

• Send bi-weekly leasing updates to SRM Department.

• Provide administrative support including documentation of key asset information to department as needed.

• Dispatch maintenance or vendors to properties when needed and other general office duties such as copying, filing, taking meeting notes or ordering supplies.

• Assist the Property Managers in managing the tenant billing process.

• Review new and existing tenant leases to understand and confirm landlord obligations or tenant requirements are being met.

• Prepare portions of the monthly financial reports and execute final version.

• Download and distribute third party residential monthly financials.

• Prepare aspects of annual budget document to include operating expense reconciliations.

• Participate in the performance oversight of all service contractors who perform building services, which includes collecting and verifying vendor Certificate of Insurance forms.

• Recommend and/or authorize vendor contracts as appropriate.

• Assist in coordinating tenant events, Fire/Life Safety procedures, and move-ins/move-outs.

• Ensure all property files physical and electronic are prepared and maintained in orderly and logical manner, including leases and contracts.

• Perform regular inspections of the building exterior and interior including tenant areas and implement compliance with code, local, state, and federal ordinances, as well as company or building policies and procedures.

• Maintain files and written records and prepare professional written correspondence with tenants, vendors, and clients.

• Collaborate with other Schafer Richardson colleagues to seek, offer, and gain experience as well as utilize them as resources.

• Learn the Schafer Richardson culture and communicate that culture consistently through all relationships.

EQUIPMENT:

• Personal owned vehicle for transportation to various sites included in managed portfolio.

• Must possess a valid driver’s license, acceptable driving record, and state mandated level of insurance.

• Personal owned cellphone.

WORKING HOURS:

• Core hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. The Property Administrator may be periodically required to work outside of the core hours to resolve issues and/or provide service to their managed properties.

EDUCATION/EXPERIENCE:

• Associated Degree Required

• Bachelor’s Degree Preferred

• MN Real Estate License (Salesperson) Preferred

• Willingness and/or ability to pursue MN Real Estate License and RPA or CPM professional designation(s)

KNOWLEDGE, SKILLS, AND OTHER ABILITIES:

• Demonstrate the ability to organize, coordinate, track, and complete multiple tasks, while adjusting to the change of priorities.

• A minimum of 1 year of commercial property management experience

• Knowledge of Yardi accounting software preferred.

• Must have experience using Microsoft Office, including Word, Outlook, Excel, and PowerPoint.

• Strong financial and analytical skills are preferred.

• Ability to identify and resolve problems.

• Effective communication, organization and time management skills are necessary.

• Ability to change and adapt to changing circumstances.

• Self-motivated team player.

• Ability to maintain punctual, regular, and reliable attendance.

• Maintain neat, well groomed, professional appearance.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee in this position must frequently communicate with tenants as well as department management and must be able to exchange accurate information in these situations. While performing the duties of this job, the employee must be able to remain in a stationary position 50 percent of the time. The employee operates a computer and other office productivity machinery (i.e., a computer, copy machine, and computer printer). In addition will occasionally lift and/or move up to 15 pounds as well as move about inside the office to access computer equipment and/or throughout the building to handle cleaning and maintenance.

TRAVEL: Travel locally to properties as needed
